Beginner's Guide to Mail


E-mail is the most widely used part of the Internet. E-mail allows you to send messages and files to anyone else that has an Internet or On-line service account. When you sign up with an Internet provider you should be given an e-mail address. Our users have an email address of [username]@logantele.com. This address is much like your home address because people can get you mail and your address is all they need to know. It is important to note that this address is very important. When you give out your address make sure to tell the person that the address contains all lowercase letters. Addresses are case sensitive and if they don’t use lowercase letters they will not be able to send you mail. When you set up your software you should always check and make sure the e-mail setup is correct. Make sure your e-mail address and reply to address are [username]@logantele.com. Netscape users should especially make sure these two things are correct as the setup usually changes these to [username]@blue.net. Netscape users should change this by going to Options, Mail & News Preferences, & Identity.

Most e-mail clients work similarly. You will have a folder called Inbox, which is used to hold incoming mail, and a folder called Outbox, which holds outgoing mail or sent mail. To send a message you should click on the Option for Compose New Message or To:Mail and you will be presented with a new window. The first thing you should type in, usually following To:, is the person’s e-mail address you wish to send the message to. The CC: field is used to send a carbon copy to another person if you wish but it is optional. Then you should type in a subject for the message. Finally you should type in the text of your message in the large block at the bottom. Most mail clients also give you the option of attachment. Attachments are used to send a file along with the message. The file can be any file that resides on your personal computer. Many people send pictures, word processing documents, and spreadsheets to friends and co-workers using e-mail. After you have composed the message you should click on send to send it to the person. This is a little confusing for people using the Microsoft Exchange that comes with Windows95. When you click on send it really doesn’t send the message. It simply places it in the Outbox folder until you click on the Tools and Deliver Now at the top. You must have a connection to the Internet before it will actually send the mail.

Once a message is sent it goes to the server of the person who will receive the message. It stays there on the server until the person looks for new e-mail messages and then it is downloaded to that persons computer to be read. To check for your new messages you should find the menu item or button that says Get Mail, Check Mail, or, for Microsoft Exchange users, click on Tools and Deliver Now.

The program will tell you if you have new mail or you will see new messages in your Inbox Folder. To read the message, click on the message and it will appear. When you read the message you then have several options.
1. Reply- By clicking on the reply option you may reply to the person without having to type in their e-mail address. This is where the program uses the reply-to address and automatically knows where to send the reply to. Just hit reply and then type in your reply and then send it as you would a new message.
2. Reply all- By clicking on the reply all option you may send a reply not only to the person sending the message but also to the other people that the original message was sent to.
3. Forward- by clicking on the forward option and typing in an e-mail address you may forward the message to another person.
4. Print- you can always print out the message if you have a printer attached.

**Note for Emissary Users- When you get your new mail it does not download the messages to your computer until you click on each message. You should click on each message to download them to your machine. Then you can read your mail without actually being connected to the Internet.
